I worked as an Executive Secretary for 17 years.
5 years in the Semi-Conductor Company and 12 years to an Import Export Company. For the Import Export Company, the tasks I am doing was not just a secretarial work, I was the overall in-charge in the company.
I am responsible for transactions with buyers to market the products by answering their inquiries, for their orders by typing a Pro forma Invoice, price list and other inquiries that need to be responded.
For the shipment, by checking their orders and make sure that all will be completed in a given time frame.
For the shipping documents by typing the packing List and Invoice, to make sure other shipping documents are in order.
I am also responsible for keeping track of status of all orders. I must submit a list of pending orders and the status of each order every 2 weeks to my Boss (the Employer itself).
Also I am responsible for Suppliers cash advances and deliveries.
Record all cash advances of each supplier
Check all outgoing shells of the suppliers to be compared in their incoming deliveries. Check all deliveries of suppliers and make sure the cash advance will be deducted in deliveries and other concern of the suppliers.
I am also responsible for keeping cash on hand and submitting liquidation report.
I am also handling workers’ salary and other concerns.
For the sales, by submitting the reports and other documents needed to our Bookkeeper.
Responsible also for others task as requested by my Employer.
