Executive Assistant support the C Level in managing daily operations, administrative responsibilities and HR management:
HR & Finance Support:
• Maintain the payroll system, including onboarding/offboarding employees and updating salaries,
• Draft contracts for employees and freelancers.
• Manage sick leave protocols and communications.
• Support recruitment processes, including triaging candidate applications.
• Coordinate employee onboarding and offboarding (account setup, welcome packages, ----------- Employment Hero System).
• Process and manage accounts payable and receivable.
• Perform weekly checking of the invoices and receipts.
Executive Support:
• Manage executive calendars, schedule meetings, and coordinate using Google Meet or Zoom
• Handle email correspondence, prioritize messages, and draft responses when required using Slack or Clickup.
• Organize and maintain files, documents, and reports.
• Prepare presentations, reports, and other business materials.
• Conduct research to support executive decision-making.
• Manage special projects and ensure deadlines are met.
• Handle sensitive and confidential information with discretion.
• Create policies and procedures for operation team reference
• Help coordinate and execute in-house projects such as holiday gifts and events.
• Manage office including ordering supplies and coordinating maintenance.
• Arrange travel, accommodations, itineraries, and related correspondence.
